The general rule when renting a large screen for an exhibition, is getting the balance right to ensure a positive audience experience, and a screen that is suitable for your stand space. The good news is that we have a team of pre-sales consultants. All you need to do is explain the stand space you have reserved and the details of the event itself. We will be able to recommend the right screen for you and take care of the logistics. But if you do want to know a little bit more, some of the main factors to bear in mind when hiring a screen are:
Technology and display quality
- Screen Type: Decide between a large format LCD/OLED TV (best up to 98″ for crisp text and seamless setup), a modular LED video wall, or a projector. Although given the quality of screens available to hire today, a projector is unlikely to be a solution that we would recommend.
- Pixel Pitch: If choosing an LED wall, pixel pitch (the distance between pixels) is critical. For exhibitions where attendees stand close to your booth (1–3 metres), you need a fine pixel pitch of P1.5 to P2.5 to prevent the image from looking blurry or pixelated.
- Resolution & Refresh Rate: Ensure the screen supports at least Full HD or 4K. A high refresh rate is also important if visitors will be taking photos or videos of your booth, as low refresh rates cause ugly scan lines on smartphone cameras.
Logistics and venue constraints
- Physical Space & Rigging: Determine how the screen will be mounted. Will it sit on a heavy-duty floor stand, be built directly into your modular stand, or be flown (hung) from the venue ceiling? Wall-hanging requires checking the venue’s structural weight limits and rigging costs.
- Power Requirements: Large LED screens consume a lot of electricity. You must calculate the total power draw and order adequate mains power from the exhibition organizer.
- Delivery & Venue Access: Ensure the venue’s loading bays, freight lifts, and doors can physically accommodate the flight cases for screen.
Content optimization
- Aspect Ratio: Build your graphics and videos to match the exact resolution and aspect ratio of the rented screen (typically 16:9, unless you are creating a custom layout).
- Viewing Angles: Exhibition traffic comes from multiple directions. Ensure the screen has a wide horizontal viewing angle (ideally 140° or higher) so your content remains vibrant to people walking past the sides of your booth.
Supplier and contract details
- On-Site Support: Confirm if the rental includes delivery, installation, configuration, and teardown. Having a technician on-call during the event is highly recommended to quickly troubleshoot signal drops or dead panels.
- Media Players & Audio: Clarify what supporting hardware is bundled. Do you need to provide your own media player/laptop, or does the supplier provide a seamless loop hardware system? Also consider if you need directional audio (sound showers) so your video doesn’t bleed noise into neighbouring booths.
